Outlook Web FindTime Poll creation
Open a new Outlook email:
- Click into the body of the message
- Click on the ellipse in the message header
- Click on “Scheduling poll”
- Add your attendees email addresses
- Availabilities will show on the right pane
- Select your Time zone
- Select your Duration
- Select your date
This will produce a list of each recipients’ availability based on the duration specified. Green will specify available, Red if not available and Grey if no calendar detected (out of network):

You will then see a summary of the times selected
Click “Create poll” at the bottom of the summary to complete the poll
You can now click “SEND” on your email
This will subsequently create HOLD appointments on your calendar for all suggested times
Each recipient will be able to 1. select Yes, No or Prefer for the suggested meeting dates and times.
2. See how other recipients voted
3. Propose another time and then ultimately
4. Submit their vote by clicking “vote”.
A submitted vote will give you a confirmation
Once all votes are submitted and a consensus is reached, the appointment will be scheduled and HOLDS removed from your calendars.
